The Federal Work-Study provides funds for part-time employment to help needy students to finance the costs of post secondary education. Hourly wages must not be less than the federal minimum wage.
Students may be employed by: the institution itself; a federal, state, or local public agency; a private nonprofit organization; or a private for-profit organization. Institutions must use at least 7 percent of their Work- Study allocation to support students working in community service jobs, including: reading tutors for preschool age or elementary school children; mathematics tutors for students enrolled in elementary school through ninth grade; literacy tutors in a family literacy project performing family literacy activities; or emergency preparedness and response.
Students must file a Free Application for Federal Student Aid (FAFSA) as part of the application process for FWS assistance. The FAFSA can be completed on the Web at http://www.fafsa.ed.gov.
The Federal Work-Study (FWS) Program encourages and provides part-time employment for students to help meet their indirect cost of attending college. Proceeds from this program should be used to help pay for rent, personal expenses, transportation, etc. The program should not be used to pay tuition and other charges.
Community Service (CMS) jobs are defined as positions that improve the quality of life for community residents, particularly low-income individuals, or to solve particular problems related to their needs including on-campus childcare services, that are open and accessible to the community. CMS also includes services to students who have disabilities and are enrolled in school. On-campus jobs can meet the definition of community services, provided that the services are open and accessible to the community and that they meet the other FWS limitations and conditions.
The Family Literacy Program provides literacy or pre-literacy education to children, literacy training for parents or other caregivers of children in the program. It also provides a means of equipping parents or other caregivers with the skills needed to partner with their children in learning as well as providing literacy activities between parents or other caregivers and their children. Reading and Mathematics tutors will qualify for 100% Federal reimbursement.
Students must meet the eligibility requirements for student aid. There is no restriction for students who have previously earned a Bachelor's Degree; unlike the Federal Supplemental EqualOpportunity Grant (FSEOG) and Pell programs.
The student must be approved for a Federal Work-Study position by the FWS Coordinator before beginning employment.
Any student who elects to have FWS who did not initially choose FWS on their FAFSA will need to complete a Delgado revision sheet and submit to the Financial Aid Office.
Termination of Employment
The employer or Delgado Community College may terminate a student from FWS/CMS. Acceptable reasons for termination include, but are not limited to:
a. Exceeding FWS/CMS award.
b. Withdrawal or termination from school.
c. Unsatisfactory academic progress.
d. Unsatisfactory job performance.
Note: If the student is granted a Leave of Absence (LOA) the student may continue to be employed under FWS/CMS if a definite schedule for reentry has been established.
The employer or the school should use the termination form to communicate the termination of the student.
Hourly Wage Rates
The wage to be paid under the FWS/CMS program is $10.00 per hour. No maximum wage rate is set under the Federal Work-Study/ Community Service program. It is up to the school to determine a reasonable pay rate for the duties performed.
Calculation of Hours Worked
Compensation under the program must be computed on an hourly wage rate basis. Because of the "hour's-pay-for-an-hour's-work" rule, no compensation may be given for holidays not worked, vacation pay, sick leave, lunch breaks, etc. With respect to the latter, it is important that student time sheets make provisions for a sign-out and sign-in for any meals or other extended breaks.
Maximum Hours per Week
The maximum number of hours = 20 per week; however, any special allowances must be approved by a Financial Aid Office Administrator.
Students are NOT allowed to work during class hours (this would be the scheduled time a student should be in class).
The Supervisor will review the student's time sheet to ensure that the student is not working while they should be in class.
Additionally, Delgado Community College staff will counsel students if they appear to be working too many hours which could adversely affect their educational studies.
Students are encouraged to stop by the Financial Aid Office, City Park Campus, Bldg. 2, Rm 207 for assistance.
STEP 1: Student confirms that he/she has been awarded work-study on LoLA.
STEP 2: Student logs on to www.collegecentral.com/dcc.
o New Users: Create Username and Password
o Returning Users: Login to your account
STEP 3: Student selects Search for Opportunities Posted to My School.
o In Company Name field enter: Delgado Community College.
o In Job Type field select: Work-Study.
o Begin search.
o Click on the Job ID and follow the application instructions listed.
STEP 4: Student contacts the supervisor listed for position and arrange an interview.
STEP 5: Student obtains Work-Study Employment Application packet from the Student Financial Assistance Office.
STEP 6: Student and supervisor must complete the application packet upon hire.
STEP 7: Supervisor submits completed packet to the Student Financial Assistance Office,Work-StudyCoordinator.
STEP 8: Student begins work assignment on or after the start date assigned by the Student Financial Assistance Office.
An e-mail will be sent out (from the FWS Coordinator) to inform supervisors when a student can start working. Students are encouraged to stop by the Financial Aid Office, City Park Campus, Bldg. 2, Room 207 for assistance.
All Student Employee Action Request Forms must be completed at or before the beginning of the fall and summer semester (completion for spring semester required only if the student did not work during the fall).
Each student must submit a new form for the summer semester.
Students must be enrolled in at least six (6) credit hours to be eligible for Federal and Non-FederalWork-Study.
No student may work for more than one department simultaneously at any time.
A Non-Enrollment Employment Form must be submitted to the Student Financial Assistance Office for each student working the non-enrollment (between semesters) period. Otherwise, the student will not be allowed to work.
Any student desiring to participate in the collegeWork-Studyprogram must submit a copy of their Social Security Card with their Student Employee Action Request Forms.
All students must have a valid “Social Security Number” on file in the Registrar’s Office in order to be approved for aWork-Studyassignment.
Work-Studystudents are only allowed to work 20 hours per week during the semester, while classes are in session unless given permission by a Financial Aid Administrator.
Only during periods of non-enrollment and between semester breaks are students allowed to work 40 hours per week as identified by the Work-Study Coordinator.
All students must conduct themselves in a professional manner. Be respectful and polite to all students/employees/visitors
Appropriate attire is required at all times. No hats, head scarves, stocking caps, hoods, do-rags, skull caps, head wraps, ear phone/plugs, or clothing revealing inappropriate body parts can be worn in the office.
All cell phones must be placed on vibrate and not to be used during working hours unless it is an emergency! All office phones are for official business, not personal use!
All office computers are for office work…….no homework, studying, downloading music, entertaining friends/family or surfing the web (i.e. MySpace, Facebook, Kazaa, Limewire, Yahoo, Hotmail, etc.) allowed during working hours. No I-pods, personal lap top computers, etc. can be used during working hours.
If students are unable to report to work at their scheduled time they must contact their respective supervisors. Therefore, supervisors should provide all student employees with a phone number to contact the appropriate person(s). Continued absenteeism can and will result in termination.
No student may work for more than one department simultaneously at any time.
Students are not allowed to work during their scheduled class time. When a scheduled class has been changed, they must submit a new schedule to the supervisor.
FWS timesheets should be submitted via your LOLA account.
Students working off campus should have their supervisors FAX copies of their timesheet and deliver original timesheets to FWS Coordinator/ Student Financial Assistance Office. Failure to submit time sheets on time (12:00 noon on the Wednesday following payday unless specified otherwise) to the Student Financial Assistance Office will cause a delay in processing.
Any problems concerning student(s) not receiving their payroll check should be directed to Payroll.
An e-mail will be sent out (from the FWS Coordinator) to inform supervisors as to when a student can start working as well as when a student is running out of work-study funds.
